Overview
Datedechoix and Calendarspots do not currently automatically lock down accounts with an expired trial period. To ensure we retain trial users and avoid missing out on paid subscriptions, we plan on managing new trial accounts as follows.
- Add new trial accounts as leads in Nutshell
- Contact customer at least 8 times during their trial period
- Once trial expires, either convert or suspend customer's account
This guide goes into detail on each step of managing a new trial account and verify we update each account accurately.
Adding leads into Nutshell
The Datedechox Freshdesk account receives a pair of batch reports for both Datedechoix and Calendarspots trial users. These batch reports include 13 items but, we're only concerned with the six items below when creating the lead in Nutshell.
- Licensee ID
- Company Name
- First Name
- Last Name
- Thirty day start date
We'll use the Licensee ID to locate a new account on Datedechoix or Calendarspots
Once the account is located, open up Nutshell, click on the + button on the side menu and select Lead. You should then see a prompt appear requesting the customer's information.
To submit a detailed lead into Nutshell, make sure to fill out the fields below.
- Name - Enter the customer's business name on this field (If they have not submitted one in their setup, you can enter the customer's name instead)
- Assign to - If you're handling the lead, select your name or assign it to the designated member of the support team
- Products - Select the name of the subscription plan the customer uses
- Expected close date - This will be the date their 30-day free trial ends
- Add a person - Enter the customer's name here. This field is necessary to send out emails to the customer
- Select a market - Choose the area where the customer's business is located
After submit answers for the fields above, click Create Lead
Once you create the lead, add an email to the customer profile. This will allow you to send the follow up emails to the customer.
Add customer to free trial campaign
You can subscribe a new lead to our free trial email campaign by clicking on the link here.
After you fill out the appropriate fields for the new lead and click the "Start Free Trial Emails" button, return to Nutshell.
Under the Contact stage, check the box next to the customer's name and email and click the check box next to "Send email welcoming to DatedeChoix/CalendarSpots and Complete Drip Campaign Form." By marking off both boxes, the leads moves onto the "Qualify and consult" stag of the lead process.
To complete the contact stage, scroll down into the Activity section of the lead's page, click Log an activity, and document you have sent the free trial campaign email.
Follow up with the customer
Check in on the customer and how their trial is going at least twice a week. Notate any interaction with the customer in Nutshell so we have a record of what has been discussed with the customer. This includes any tickets the customer submits on Freshdesk or any outbound and inbound calls.
Emails sent from Nutshell are automatically saved in the lead's profile.
Cancel or continue subscription
Once the customer's trial period ends, call or email the customer at least twice to see if they plan to cancel or continue using Datedechoix/Calendarspots. If they do not respond, mark the lead as Lost.
